Position: Junior Physical Security Specialist (Program Analyst) 

Type: Full Time 

Location: Arlington, VA 

Reports to: ARMADA HQ 

Security Clearance Required: SECRET 

 

Duties & Responsibilities: 

  • Design Review Coordination: Analysts are responsible for receiving physical copies of blueprints, logging those blueprints into an internal tracking SharePoint system and sending out memoranda requesting review to various DS offices. Analysts then receive and upload any comments into a collaboration site for resolution. 

  • Analysts also must “back check” the comments once final responses are received, in order to ensure open issues are fully resolved. Once all comments are resolved, the Analyst must draft correspondence memorandum documenting completion 

  • Quality Control Checks on Residential Security Funding Requests: Analysts review incoming funding requests for errors. Analysts are also responsible for monitoring the progress of the request to include maintaining an internal tracker, notifying the assigned desk officers for action and ensuring requests are fully completed within a two business day period 

  • Document Editing: Analysts are tasked with drafting, reviewing and editing written products within their assigned section, including Ambassadorial Briefing Papers, Waiver/Exception Requests, Action Memos, Informational Memos, Score Cards, and miscellaneous correspondence often while adhering to short deadlines. Analysts look for grammatical mistakes, contextual errors, and ensure all written products strictly conform to the PCD and Department templates 

  • Proofreading Surveys: Analysts review and edit all Physical Security Surveys to insure that there are no formatting errors, grammatical mistakes, or missing content from the originator before it reaches the next level of review. Analysts are responsible for communicating with originator when the surveys are missing required content, and for passing the survey to the next level of review in the business unit 

  • Taskers: Analysts provide dedicated support for a variety of informational taskers, researching PCD databases to generate useful information for reports that are often received by senior persons within the Department. Analysts will learn to operate the Department’s tasker system. 

  • Working Group Coordination: Analysts provide support to the Residential and Overseas Schools Security Grant Program working groups, organizing the meetings, recording minutes, and tracking issues. 

  • Quarterly Progress Review: Analysts compile the data from various tracking applications in order provide a useful analysis to decision makers on their section’s accomplishments during the periodic quarter. 

 

Knowledge, Skills and Abilities (KSAs): 

  • Knowledge of DS goals, objectives, programs, and relationships, to provide operational support services that support the Bureau mission. 

  • Knowledge of pertinent regulations, policies, and procedures that apply to the acquisition and management of program support resources. 

  • Ability to work effectively and cooperatively in a team environment to meet the demands associated with a dynamic, results- driven office. 

  • Ability to plan, organize, and prioritize work to effectively accomplish assignments under general supervision. 

  • Skills in using the Microsoft Office Suite (Outlook, Word, Excel, Access, SharePoint, and PowerPoint) in order to collect, organize, prepare, and present administrative information. 

  • Ability to communicate effectively, both orally and in writing, to prepare and present analyses, provide advice, assistance, and support, coordinate activities with other organizations, interpret policies and procedures, and participate in meetings. 

 

Minimum Education: 

BS/BA in a related field preferred but not required.
